Student Life Administration Website (SPA)

The Office of the Chief Administrative Officer (OCAO) is investigating a revamp of the Student Life Administration website, a key resource on Staff Online. This initiative aims to keep the website a central hub for budgeting, finance, and payroll information. 

Created years ago, the website needs a comprehensive evaluation to address evolving needs and technological advancements. The goal is to identify information gaps and update content, aligning with Student Life strategic goal 5.6 to improve effectiveness and efficiency in processes. 

Overall, the OCAO received positive feedback on the current setup and the information available on the page. However, several key recommendations have been made to enhance the website’s effectiveness: 

  1. Promotion: Many staff members are either unaware of the page or have forgotten about it. It is recommended to promote the page more prominently on Staff Online and through emails to new employees. 
  1. Prioritize Student Life Content: Focus on Student Life-specific pages and policies first, followed by links to other relevant webpages. 
  1. Update Interface and Branding: Revamp the interface to align with current SL branding, ensuring consistent formatting across different tabs. 
  1. Useful Information for New Hires: Include a breakdown of the department, onboarding information, and other useful resources for new hires. 
  1. Downloadable Forms: Provide easy access to downloadable forms such as tax forms, payroll schedules, offer letter templates, and timesheets. This will reduce the need for multiple emails to Business Officers. 
  1. Improve Readability: Some users find the information too busy. Breaking up the text with images or website tools and organizing content by topics could enhance readability. 

OCAO will review the findings and work towards a Student Life Administration website refresh pending Student Experience and Student Life Communications input on the best medium for internal document/info sharing.
